Minimum Workstation and Software Site License Subcommittee Minutes

ITS Update
Marc Pastor gave a brief overview of the newly remodeled AH-1120, now called the Learning Research Center. It is set up for collaborative learning with moveable furniture and white boards, LCD panels, wireless connectivity to the LCD panels in a private net that allows iPads to mirror the LCD panels, a short depth projector and a full Smartboard behind the Instructor's table. ITS is currently piloting the room - everything is off-line for now. The room will be officially on-line with classes in the Fall. Carol Tohsaku should be contacted for room reservations.

ITS has purchased a one year subscription to Atomic Learning. The MWSSLS attendees were provided a temporary username and password to access the tutorials. Eventually everyone can have their own username/password. Note: the Gmail training offered here is not focused on the Enterprise version that SDSU is using, so difference may be noticed. Carol Tohsaku is the point of contact for Atomic Learning.

Academic Affairs Update
Academic Affairs has been looking at ATI remediation, as there soon will be sanctions if sites are not compliant. They will be reviewing the ATI quarterly reports, and looking to develop a milestone reporting process. In the mean time, departments can resolve a lot of ATI issues by putting in tags with images, and having a link available to download Adobe PDF reader.

IACC was disbanded about two years ago in favor of MWSSLS, as there was a lot of overlap happening. Recently, the IACC website was removed.

Minimum Workstation Committee
A minimum workstation committee will be formed to update the minimum specifications for PC's and Macs. Volunteers to be on the committee should email Diana Osborn. Because of the importance of having up to date minimum specs for purchasing, if there are no volunteers, the Associate Deans will be appointing staff to this committee from each area.

Celia Putnam supplied the meeting with a list of the Campus Site Licensed software. Most is available to be checked out from Celia or her designees with exceptions noted below:

Miscellaneous
A group will be meeting about doing a face-lift on the MWSSLS website. If you are interested in joining this effort, please email Diana Osborn.

Encryption software was discussed and noted that this type of software is required in the Security Plan, so a site license should be explored. John Ross will take this issue to the next IT Managers meeting.

Calendar Transition
ETS is currently holding session for users covering the basics of Google calendaring. Connie English will send out a list of handouts and references for Google calendaring. Meeting Maker is shutting down on February 28th. It was mentioned that there is a way to archive Meeting Maker calendars and import Meeting Maker data to Google Calendar. Documentation is available on the helpdesk.sdsu.edu website, as well as, through Google's website.

There are also a lot of Department emails that have not been claimed. Send all questions to etshelpdesk@mail.sdsu.edu.

IT Security Update
Student Health Services is now a HIPAA entity, which means if there is a breach in security at SHS, SDSU would be required to notify the Office of Civil Rights, an agency of the Department of Public Health. Depending on the issue, they could make a visit to campus and impose heavy fines. Also there are new breach notification laws with a January 1st start date that will require SDSU to notify the State Attorney General.

Next MWSSLS meeting will be March 15, 2012.
