RefWorks
Discussion on a possible EndNote purchase has ended according to John Ross. More of the Library's databases can port directly into RefWorks, which is another web based citation product aimed at undergraduates.  The license covers RefWorks and RefShare Level5.  The contract was set to expire on June 30, 2008, but the Library has renewed it for another year.

CSU IT Audit
Felecia Vlahos explained the coming CSU IT Audit.  SDSU is one of 10 campuses being audited.  Fullerton has already completed their audit; Pomona is currently in progress.  Other campuses included are San Jose, and Chico.  The audit is asking for about 123 items to be provided by July 7, 2008. Our Security Plan answers most items and the independent IT departments will need to provide about 38 additional items.

John Ross is coordinating for Academic Affairs and will be meeting  with area representatives to provide detailed explanation.  Input from area representatives is needed between June 2 – 23, 2008 to the IT Security Office.  Submission dates will be staggered during this period.  Some of the input includes organization charts, list of systems, and labeling schemes.

There will be 2 types of auditors: CSU auditors doing the administrative review and KPMG auditors handling the technical review.  The auditors will be using ISO17799 security standard terminology.  The KPMG auditors will be on campus 24 hours between July 14 -25, 2008.  Please be aware that all systems people will need to be available during this time.

Felecia stated that no one is expected to "pass"  this audit in the CSU.  Expectations are more along the lines of “what we have in progress to meet our baseline (our Information Security Plan)”.  Try to focus on those things that are black/white versus spending too much time on the grey areas.  Your reports should state 1 of 3 choices on procedures: 1) formal – written step-by-step procedures, 2) informal – not written down, but the same each time procedures, or 3) ad hoc - on the fly procedures.  Be sure to complete your departmental assessment forms from the Security Plan.  All items will need to be electronic for our final submission will be in the form of a CD.

John Ross explained that it is also important to keep our servers patched and to clean up your server accounts.  Final note: Web-based Security Awareness training is a CSU-wide item.

Meeting Maker upgrade
Bob Newhouse did not attend, so no new information available.

Sun Matching Grant Program
The Sun Matching Grant program runs through June 30th. SUN is offering a matching grant program, discounting by half their hardware and software.  See http://www.sun.com/secure/products-n-solutions/edu/grant.jsp

Acrobat Professional
Diana still needs area numbers on Acrobat Professional;  what you currently have and what you want to get.  Be sure to break out the number you have as part of a CS3 suite.  Engineering, Sciences, Education, and ITS have submitted their numbers.

Discussion ensued about pdf accessibility.  Merka Phoenix has offered to test for accessibility with the alternative packages his college is using.  They are Activepdf and Premopdf.  The Library is looking at Foxit Pro.

Patch Management
Academic Affairs has purchased the Novell brand – PatchLink.  It is a 4 year suscription that starts June 1, 2008.  Sciences volunteered to be the first user and Academic Affairs provided a server.  PatchLink agreement has no asset management part, but ZenWorks does have asset management.  Discussion ensued on future use by other departments.

Minitab
John Ross relayed a conversation with Celia on Minitab; What the campuses pay depends on the number of licenses and with campuses dropping out, our price has gone from $3000 to $7000.  We are looking at a separate purchase to see if it would be more advantageous.  Diana needs area numbers on Minitab, as there are 350 installs at the Library and 200 concurrent licenses in Sciences.
