Minimum Workstation and Software Site License Subcommittee Minutes

November 16, 2006
Meeting in AH-1120 at 10 a.m.
Diana Osborn, Chair

Committee Adoption by IT Managers
The MWSSLS Committee has now been adopted by the IT Managers. Bob Newhouse is the liaison between MWSSLS and the IT Managers and will attend MWSSLS meetings. When MWSSLS recommendations are prepared, Bob Newhouse can take the reports directly to the IT Managers.

Deep Freeze
MWSSLS committee would like to consolidate all current campus Deep Freeze licenses and obtain new licenses for interested departments. A report will be written up regarding who currently has licenses and the price that the vendor has offered us. This report will be submitted to the IT Managers via Bob Newhouse. Celia Chavez could coordinate receipt and distribution of software. Diana Osborn will send out an email asking departments who currently has licenses and how many and who would like to add licenses and how many.

End Note
The Library currently has a contract for RefWorks. If we get a campus site license, would it work in conjunction with or replace the current Library contract? That license was for 1 year, but we don't know the start or end date. Diana will see if she can find out who the contact person is. Based on numbers, there could be a campus license contract for all faculty/staff/students for $20,000 or we could just obtain volume pricing. Aztec Shops may already have volume pricing set up. Diana will also contact the End Note vendor to see if training could be provided. A report will then be written up and submitted to the IT Managers.

Software Survey
All Software Survey updates should be made by November 22nd.

Minimum Workstation Standards
Scott Horvath will be finalizing a recommendation to put up on the MWSSLS web site.

Calendar Committee
Since the MeetingMaker contract expires in September of 2007, a sub-committee to research the different calendaring options is being formed. Bob Newhouse will be the chair. Several MWSSLS members volunteered to be on the committee. Contact Bob Newhouse at newhouse@sdsu.edu if you are interested in serving on this committee. The committee will convene in early December.

The first task will be to identify features that the campus will require for a new calendaring system to make it a viable product. Among the products being evaluated will be Mirapoint, Groupwise, Microsoft Exchange, MeetingMaker.

MeetingMaker
The Outlook interface with MeetingMaker should be done by the end of November. An announcement will be made when it is ready. MeetingMaker mobile should also be ready in a few weeks. If you are interested in testing Outlook with MeetingMaker, contact Bob Newhouse.

Miscellaneous
There is a strong need for a campus Identity Management System. An Identity management system would allow us to know who can have access to what. Felicia Vlahos mentioned that CMS will solve a portion of this issue.

Next MWSSLS meeting will be on December 21st, 2006 at 10 a.m. in AH-1120.
