Diana will send an email to the MWSSLS committee to see if members wish to continue to receive MeetingMaker invitations.Meeting Maker should be upgraded to version 8.5.3 by the end of June at the latest. UCO is currently verifying hardware and doing testing. The web client as well as hand held access will be updated. UCO will send out announcements as they progress with the update.
End Note
Diana received the number of End Note purchases at the bookstore. Faculty and Staff purchased 40 copies of End Note since 2004. Jeff Kelley, Aztec Shops has agreed to assist in putting together a proposal.Software Survey
The Software Survey is being used more and more to gather numbers for software site licenses and volume purchases. Please make sure your software survey is up to date. Committee members should get their software updated, if necessary, in the next two weeks.Academic Affairs Confidential Data Survey
A survey is being launched to obtain information on confidential data storage (what it is, where it lives, etc.). John Ross is working on the final version of the survey. The survey will be sent out in two phases starting first with administrative data (sent to admin. staff) and then will be sent to faculty in the fall. When the survey is finalized, John Ross will send to the committee. The survey should be sent out in the next couple of weeks with a turnaround time of approximately a month.The purpose of the survey is to get major pockets of confidential data off line if possible or protected if it must stay on-line. IT staff will need to provide IP addresses and additional information as necessary.
Novell Contract Update
Usage numbers were obtained and sent to John Ross.Qualitative Stat Packages
Based on research by IT staff, Hyper Research is the only cross-platform qualitative stat package and it is equivalent to the other qualitative stat packages. Volume pricing is $370 for individual licenses and $170 if more than 51 copies are purchased. Please update Software Survey with numbers under the Stat Other category within two weeks so we can see about volume pricing or obtaining the software through the bookstore.Accessibility
Cyndi Chie reported on accessibility as it applies to purchasing. Accessibility laws for purchasing took affect in January 2004. Some major purchases in the last 2 years were not compliant with Section 508. A work plan is being reprioritized and simplified before it comes to campus. It will be a 1st step approach - steps that can be taken immediately. One step that can be taken is to ask vendors if they are 508 compliant and how they are compliant.Mary Shojai, Director of DSS, contacted Cyndi about posting minimum requirements for accessible workstations. Standards for these workstations will be sent to the MWSSLS Committee. Severino Reyes will work with us to set up the standards. Please review the current standards posted on-line and let us know if there are any changed to be made.
Border Firewall
John Ross has been coordinating with the IT Security Office regarding the border firewall as to what the exemption process should be. John distributed a draft of secure practices. A user requesting a borderwall exemption must agree to these secure practices. This document is still in the formative stage, so if any one has comments or suggestions regarding this document or the process in general, please forward them to John Ross.John Ross would like to get Management buy-in. The idea is to have each Dean appoint an Associate Dean to be his IT Security contact.
Anti Spyware Update
Felecia Vlahos reported that they are near completion of testing of the Anti-Spyware software products. The committee will be meeting in 2 weeks to discuss the strengths and weaknesses.
Patch Management
The Patch Management Committee is looking for testers for the Patch Management software. Please contact Diana Osborn if you like to participate.
