Problem, Need, or Opportunity

Health Management Systems, Inc.'s (HMS) clients collect information on government issued forms to get reimbursed for health care costs from private and public insurance carriers. To be successful at Health Management Systems, Inc. (HMS), new employees need to be:

Almost all of the new HMS employees who will use this online training/reference are:

 

At this point, I do not know of any relevant ways this audience will vary from each other.

User's Needs

The audience has had training on the forms' fields. They are unfamiliar with the HMS system and with how insurance carriers work. In order of priority, the users need:

 

Training for the first two points (billing paperwork process and form field training) already exists online. My goal is to create an online module for the third point: showing how key fields on each form link to the HMS system.

 

Because the users are familiar with the forms and want to learn the applications, I plan to make the form the basis for each window and the navigation reflect the application. For example, each tab across the top would have the name of an application. When the user clicks on a tab, the form displays with fields used by that application highlighted and a brief description of that application's features.

Environment

Many HMS employees work independently from offices on client sites and home offices. HMS supports employees with up to date hardware and software and fast internet access. This module will be on the HMS intranet. The look and feel will be designed to fit into the existing intranet.

Resources and Limitations

I believe I will have the resources I need to overcome any limitations. The following table lists potential limitations and resources identified for overcoming them.

The content is new material.

The fields-to-features mapping is new. I think descriptions of the features exists and can be reused. If not, I will switch to another user need that is already documented.

Timelines are short considering the amount of information I will need to understand.

This content does not lend itself to video or sound so I do not plan to include those elements.

Two non-HMS forms will need to be shown on the web site.

The forms are government issued and can be replicated anywhere.

General Solution

This module will become part of the mandatory new employee training for HMS. Beyond it being mandatory, users will want to come to the site because it covers knowledge they need to effectively troubleshooting client issues.

When the user enters the site, they will have tabs across the top of the home page. The tabs will have names of HMS system features. Users will click each tab to see the form with specific fields highlighted. Those fields are the ones used in that HMS feature. Text will describe how the feature works with the highlighted data fields.
