Electronic Presentation Room Usage Guidelines

Prior to Day of Use

  • Reserve the room in one of the following ways:
  • While you are welcome to call 594-5727 to inquire about room availability for specific dates and times, we are unable to reserve the room for you until you submit the request form.
  • You have 5 minutes before and after your event for arrival/set-up and clean-up/departure. If you require more time, please add it into your request.
  • You will need to learn how to operate the equipment you plan to use during your event. Schedule a training session with ITS (phone 594-5727) at least three days prior to date of use. Due to time and staffing constraints, we are unable to provide training to students or guests. For student or guest presentations, training will be given to the faculty or staff member responsible for the class or event.
  • If your plans change and you no longer need the use of the room, please call 594-5727 to cancel your reservation.

Day of Use

  • Go to the ITS Faculty Room, AH-1109, and ask to have the room unlocked. The room will not be unlocked, nor will anyone be allowed to enter the room, until you arrive. The Faculty Room can be very busy at times; please be patient and allow a few extra minutes in case the Faculty Room staff are busy with clients. If your event begins after the Faculty Room closes at 6:00 pm, go to CCTV Master Control (AH-1120A), adjacent to the presentation room, and the staff member on duty will let you in.
  • If you need assistance during your event, ask for help at the Faculty Room (x45727) before 6:00pm or at CCTV Master Control (x41470) if after 6:00pm.
  • You must be present during the event; remember that you are responsible for the equipment in the room and the condition of the room itself. As such, you must enforce the rules prohibiting eating, drinking and smoking in the room.
  • If you installed software on the computer, please remove it before you leave. Likewise, remember to remove any videotapes or other media you may have brought to the room.
  • You must notify an ITS staff member when you've finished using the room. Notify the Faculty Room (x45727) if this occurs before 6:00pm, or CCTV Master Control (x41470) if after 6:00pm.

General Information

We strongly urge you to investigate potential problems with hardware and software compatbility well in advance. ITS staff may be able to address these issues with you by phone, or may be able to arrange to meet with you prior to your event to help you test your particular set-up or configuration.

The Presentation Room is not to be used as a simple meeting or conference room; use of the room is limited to events that require the use of specialized projection equipment. If you need projection equipment and our presentation room is not available, consider borrowing projection equipment from the ITS Check-Out Counter (594-5691).

The room seats 46 people at tables and chairs, all facing the presenter's station at the front of the room.
